What is virtual employee onboarding?

Virtual employee onboarding is an online program that introduces the organization to new hires and gives them what they need to start working. It is also called virtual induction, the initial integration of a new team member.

At Instruccionarte we design custom onboarding programs for companies, government agencies, universities and colleges. They are built for HR, talent management and L&D teams that hire frequently, have several sites or recruit remote staff.

The program is published on your LMS and combines videos, interactive modules, reference documents and short assessments.

What good onboarding achieves

Good onboarding ensures that people know where they are, what is expected of them and who to ask for help. The goal is not for them to memorize the entire manual, but to be clear on the basic rules and know where to find the rest. That is why we combine short modules with reference materials they can review later, when the need arises.

Problems virtual onboarding solves

Virtual onboarding solves the uneven, slow and hard-to-measure onboarding that happens when everything depends on in-person meetings. Some common symptoms:

  • Each manager explains the company their own way, with different information.
  • HR repeats the same presentation every week.
  • Remote staff or staff in other regions receive incomplete onboarding.
  • New hires receive too much information in a single day and forget most of it.
  • There is no record of which topics were covered or what was understood.

Virtual onboarding organizes that content into short modules, available when the person needs them. That way the first contact with the organization is clear, consistent and easy to repeat with every new hire.

The content also remains available after onboarding. If someone forgets how to request vacation time or who to report a problem to, they go back to the module and find the answer without interrupting their coworkers.

What a virtual onboarding program includes

A virtual onboarding program includes a common core for all staff and specific paths by role. This is the content we usually work on:

  • Welcome video: a message from senior management or department leaders, filmed or animated.
  • Culture: history, mission, vision, values and expected behaviors.
  • Org chart: departments, people in charge and who to contact for each question.
  • Policies: internal regulations, code of conduct, information security and benefits.
  • Processes: key workflows for the department, explained step by step.
  • Tools: tutorials for email, ERP, CRM or other systems the person will use.
  • Basic OHS: general risks, emergencies and how to report incidents.

Role-based paths

A learning path is a sequence of modules assigned according to the position. For example, sales staff see the sales process and the CRM, while warehouse staff review inventory and plant safety. The LMS assigns each path automatically based on the profile.

Formats and deliverables

  • Modules in SCORM or xAPI ready for your LMS.
  • Welcome video and system tutorial videos.
  • Infographics and interactive PDFs for quick reference.
  • Short assessments and an onboarding completion certificate.

How we design your onboarding

We design the onboarding in six steps, together with HR and the departments that contribute content.

  1. Analysis and objectives: we define what the person should know and be able to do by the end of their first week and first month.
  2. Learning material development: we organize your documents and write the script module by module.
  3. Review and pedagogical adaptation: each department validates the information about its process.
  4. Design and audiovisual production: we create the visual identity, the welcome video and the tutorials.
  5. Final content digitization: we package the modules and set up the paths in the LMS.
  6. Implementation and measurement: we activate reports and, if you wish, a new-hire experience survey.

We usually start with the common core and then produce the role-based paths in order of priority. That way you can use the general onboarding while the specific paths are being completed.

We also define the new-hire schedule: which modules to take on day one, which during the first week and which before the end of the first month. This schedule prevents information overload and helps the direct manager know what stage each person is at. The LMS can send automatic reminders when a module is still pending.

Examples of use

Virtual onboarding adapts to organizations of different sizes and industries. Some generic examples:

  • A company with several stores that needs to onboard customer service staff at every opening.
  • A government agency that receives new public servants and must explain its structure and internal rules.
  • A contact center with high turnover that needs a 30-minute onboarding before technical training.
  • A university that brings in faculty and administrative staff every semester.
  • A company with remote work that wants to convey its culture to people who don't visit the office.

In every case, virtual onboarding complements human support. The direct manager and a buddy remain key during the first weeks.

Onboarding, compliance and continuous learning

Onboarding is often the gateway to other training. You can link it to the online occupational health and safety courses and the sexual harassment prevention course, so new hires complete their entire initial plan on a single platform.

What determines the price of virtual onboarding?

The price of virtual onboarding depends on the number of modules, the number of role-based paths and the audiovisual production. These are the main factors:

  • Length of the common core and number of modules.
  • Number of paths by role or department.
  • Welcome video: filmed, animated or with a presenter.
  • Number of system and tool tutorials.
  • State of your content: ready-made documents or information still to be gathered.
  • Setup of automatic paths, reports and certificates in the LMS.

Frequently asked questions

Your questions about Virtual employee onboarding, answered

What is the difference between induction and onboarding?

Induction usually refers to the initial introduction to the organization. Onboarding is a broader process that supports the person during their first weeks or months. A virtual program can cover both.

Does virtual onboarding replace in-person onboarding?

It replaces the informational and repetitive part, but not human support. We recommend combining it with a meeting with the direct manager and a buddy.

How long should virtual onboarding take?

It depends on the position, but we recommend modules of 5 to 15 minutes. The common core can be completed in the first week and the role-based paths during the first month.

Can you film the welcome video?

Yes. We can schedule a filming session with your leaders, produce an animated video or combine both. We can also script the message so it is short and personal.

What if our documents are out of date?

During the analysis stage we identify which information is missing or outdated. Your team updates it and we turn it into learning content.

Can different paths be created for each department?

Yes. We design a common core and paths by role or department. The LMS can assign them automatically based on each user's profile.

Does it include tutorials for our internal systems?

Yes. We record video tutorials or create step-by-step simulations of systems such as ERP, CRM or in-house platforms, taking care not to show sensitive data.

Does it work on our platform?

Yes. We deliver the modules in SCORM or xAPI, compatible with Moodle and most LMSs. If you don't have a platform, we can help you implement one.

Is it suitable for government agencies?

Yes. We adapt the onboarding to each agency's structure, internal rules and language. See our e-learning for government page.

How do we measure whether onboarding works?

With LMS progress and assessment data, plus an experience survey at the end. You can also compare frequent questions from new hires before and after the program.

Can we update the onboarding ourselves?

Yes. We deliver the source files and, if you prefer, use easy-to-edit tools for content that changes often, such as org charts and contacts.

How do I request a quote?

Message us on WhatsApp at 935 078 563 or email contacto@instruccionarte.com with your annual number of hires, the positions to prioritize and your current platform.
